New Registration System Update

Hello everyone!  Hope you are having a great Friday!

We have another Friday update for you.  First we start with an update on the new registration system, and prepare to shake your head.  The date for transition is moving again, now to October 3.

The latest issue is a change in the refund policy.  The AEAs as a whole are changing the refund policy because of the way the new system handles transactions.  The new policy will be that there are full refunds up until a week before the course starts.  Then there are no refunds after that time.  (This, of course, does not include courses that are canceled due to low enrollment, as there will obviously be full refunds in that case).

This represents a change from our current system, where full refunds were allowed up to two weeks prior to the start, and then a refund minus a cancellation fee was allowed up to a week after the start of a course.  Our registrars will still have wiggle room to give refunds for extenuating circumstances, but the stated policy will be changing at the beginning of October to no refunds after a week prior.  If you have correspondence in your course on the refund policy, please update it with the new directions.

Because of this change, the AEAs and the vendor have been testing out the mechanism for the refund process, as well as purchase orders and section fees, something that affects other AEAs.  I can report that testing has been going well.  So, I have more confidence we are going to make this deadline than any previous one.

So, regarding course proposals, here are the new directions.  Any course starting in August, September, or October (yes, October too), please add the course proposal in the current system.  Any course starting in November or later should go directly into the new system.  If you have already created a proposal in the new system, we'll copy it over to the old system.  The reason for October classes there is that we want to post those asap so that individuals can start registering.  Our support person has assured us that during the migration from one system to the next, we can bring over currently posted courses with their current participant lists, and continue registration in the new system.

As the previous 5 times beforehand, we apologize for the inconvenience of moving back dates.  You guys have been excellent in your patience and understanding, and we are very appreciative!
