Holding a safe and successful face-to-face event is possible, but it requires planning that is different than the pre-pandemic events we were all used to. Here are five considerations when planning an in-person experience:
Think through your overall safety plan first and share the plan before asking guests to pre-register. Understand the safety protocols your venue has established and publish these measures to keep attendees informed and help them feel more comfortable reserving their spot. Some safety related measures could include touchless doors to help minimize contact, hand-sanitizing stations, safety related swag such as branded masks and meals served in individually boxed containers.
As the country beings to reopen, the key to planning a live event is to be flexible. All attendees may not be able to attend in-person, whether that is due to government restrictions, travel barriers, individuals being more at risk or personal concerns. Offering a hybrid event that combines face-to-face components with virtual experiences will allow all to take part in the event regardless of their physical location.
Chances are, your event seating will need to accommodate social distancing. We are seeing many creative ideas on how to execute social distancing such as rounds of 4, theater style seating in pods or even going virtual for sessions with large attendance while doing smaller breakout sessions face-to-face.
