You've decided to go hybrid but are not sure where to start. We can help... here are 5 Easy Steps to Planning a Hybrid Event:
STEP 1  
DETERMINE THE EVENT GOALS. Define what a successful event looks like.  Is this xx number of attendees educated, $xx amount raised for your cause, xx number of exhibitors, or xx% of engagement?  One hybrid event goal could be for all attendees to have the same experience regardless of if they attend in-person or virtually. Defining event goals and getting buy in from key stakeholders is key in planning a successful hybrid event. Once the event goals are determined you can work backwards to make sure they are the primary focus throughout each step of the planning process. 
STEP 2  

PICK A TECHNOLOGY PARTNER. Technology for virtual and hybrid meetings is changing by the minute. It can be very overwhelming to keep up with the latest options on event platforms, streaming software, remote engagement tools, security protocols, etc. Picking an event technology partner you trust takes the task of figuring out what technology components are right for your event off your plate and allows you to focus on the other details of the event. Let your technology partner know your event goals and let them recommend the best technical solutions to achieve those goals.

STEP 3  
SET A REALISTIC BUDGET.  Itemize your event expenses and determine which line items will result in a cost savings due to going hybrid (like lodging and travel) and which items will require more allocation (like technology / AV).  
STEP 4  
PLAN THE CONTENT.  You’ve heard for years that “Content is King”. This statement is even more true with hybrid events. Not only do you need to keep the attention of a room full of in-person attendees, but you also need to keep the remote attendees engaged. Keeping the attendees experience top of mind will help you answer some of the key content planning questions such as: How many sessions will there be? How long will the sessions run? REHEARSE & EXECUTE. Do rehearsals!  Rehearsals are just as, if not more, important than if the show was an in-person only event. Rehearsals allow for troubleshooting issues in advance, which allows for an impactful hybrid event for all attendees!
