5  Ideas for Getting Back to Meeting In-Person 

As the world readies itself to recover from the COVID pandemic, those of us in the event industry have a critical role to play in reconnecting and rebuilding communities and economies. We as humans thrive on senses and social interaction. Live events bring us together for moments of shared experiences which allow us to connect with one another on a personal and social level. Below are five ideas on how we can move towards having these in-person experiences again:
1  As the country beings to reopen, the key to planning a live event is to be flexible. All attendees may not be able to attend in-person, whether that is due to government restrictions, travel barriers, individuals being more at risk or personal concerns. Offering a hybrid event that combines live in-person components with virtual experiences will allow all to take part in the event regardless of their physical location. 
2  Ensure safety and promote what you are doing. This could mean providing branded safety items such as masks or hand sanitizer as swag items upon check-in and providing individual meals instead of a lunch buffet. Understand fully the protocol your event venue has established for safety and publish these measures early in the registration process. Think through your overall safety plan first and share the plan before asking guests to pre-register. This will help attendees feel more comfortable reserving their spot. 
3  Update your event layout for social distancing. We are seeing many creative ideas on how to execute social distancing such as converting to theater style seating across multiple ballrooms for general session or going virtual for large attendance sessions and doing smaller breakout sessions in-person.
4  Offer risk free registration that either extends the cancellation policy or offers free cancellations up until just before the event.  
5  Take as many parts of your event that you can outside. Receptions, pre-function gatherings, meals, can be easily moved to an outdoor experience if the venue has this type of flexibility.
